We are seeking a detail-oriented and highly organized Entry-Level Administrative Assistant to join our team. The ideal candidate should have excellent communication and organizational skills, with a strong ability to multitask and prioritize tasks effectively. As an Administrative Assistant, you will play a crucial role in supporting daily operations and ensuring the smooth functioning of our office.

Requirements

  • 6 months of clerical experience
  • High school diploma or equivalent; additional certification or coursework in office administration is a plus.
  • Excellent verbal and written communication skills, with attention to detail and accuracy.
  • Proficiency in using productivity software (e.g., Microsoft Office Suite, Google Workspace) and ability to quickly learn new software and tools.
  • Strong organizational skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills, with the ability to interact professionally with employees at all levels of the organization.
  • Proactive and self-motivated, with a willingness to take on additional responsibilities and learn new skills.
  • Previous experience in an administrative role or relevant internships (preferred but not required).
  • Knowledge of online research techniques and data analysis tools

Responsibilities:

  1. Provide administrative support to the management team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  2. Assist in the preparation and formatting of documents, presentations, and reports, ensuring accuracy and adherence to company branding guidelines.
  3. Maintain and organize physical and digital files, records, and databases, ensuring confidentiality and easy accessibility.
  4. Answer and transferring phone calls, greet visitors, and respond to emails in a professional and timely manner.
  5. Monitor and manage office supplies inventory, placing orders when necessary and ensuring cost-effective procurement.
  6. Assist in the coordination and planning of company events, meetings, and conferences.
  7. Conduct research and gather data for various projects, presentations, and reports.
